Sharing One Language Terms and Conditions
Before you book and pay for a course at Sharing One Language you must read and confirm you have understood our terms and conditions below.

1.Bookings:Bookings can be made by contacting SOL direct by email or contacting your local country co-ordinator
When you make a booking enquiry with us we will confirm the booking and course date by email. If we are unable to confirm your booking enquiry dates we will inform you of this and offer alternative dates.Once the booking is confirmed we will send you some information sheets for completion and also an invoice which includes our bank details for payment.
1.4  It is essential that you give us all the information we ask for and you must tell us if you have any medical conditions, allergies or dietary requirements, particularly if you have any serious difficulties with hearing, sight or mobility.

Insurance:
2.1 We strongly recommend that you travel with adequate travel insurance to cover expenses in case of emergency and costs in case of cancellation or curtailment.  Ask your Education Consultant or Educational Tour Operator for insurance information.

Visas:
3.1 A visitor visa may be needed, please check with your local British Embassy or online.
3.2 If a visa is required we will supply you with a letter of invitation to assist with the visa application.

Payment of Fees:
4.1 A 10% deposit is required to secure the booking within 6 weeks of booking. Students will not be permitted to start the course unless full payment has been received.
4.2 The invoice should be settled in full at least four weeks before the course starting date.
4.3 All Student course fees must be paid in Sterling (GBP). All bank charges are payable by you. 
4.4 Or if booking a teacher training course all fees must be paid in Euros.  All bank charges are payable by you.
4.5 If we agree that the Student course fee can be paid on arrival there will be an additional 1% charge of the total fee. 
4.5 Any refunds due under these Terms will be paid to the person from whom payment was originally taken. 

Cancellation: All cancellations must be made in writing.
5.1 Lead Teacher/Group organiser must inform Sharing One Language of any cancellations.
5.2 We go into liquidation or a receiver or an administrator is appointed over our assets;
5.3 We are affected by an Event Outside Our Control.

Refunds & Cancellation fees are charged as follows:
6.1 The 10% deposit is non refundable
6.2 Cancellation received more than 28 days before the course begins: If student can be replaced refund of course fee less 10% deposit
6.3 Cancellation received less than 28 days before the course begins and no student replacement is possible refund of 50% of the course fee6.4 Changes of accommodation during the stay, or less than 14 days prior to arrival: If students/teachers request a change of host family without a justifiable reason there is a charge of £165 providing we have another family available.
6.5 Visa refusals: Once we have had sight of the original visa refusal notification we will refund all course fee paid except 10% deposit.
6.6 Visa cost: We will not refund the cost of the visa application.

Changes to Bookings:7.1 We reserve the right to cancel a course or change the venue or make changes to course arrangements without liability if obliged to by circumstances beyond its control or due to low demand.
7.2 In such cases we would seek to offer alternative arrangements, dates or venues, or a full refund of fees for tuition and accommodation.
Our liability to you:
7.1 Unless and to the extent caused by our negligence, we will not be liable to you for any losses arising from any delays or failures relating to travel arrangements.7.2 If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breach of the terms or our negligence, but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if it is an obvious consequence of our breach or if it was anticipated by you and us at the time we entered into this contract.7.3 We do not exclude or limit in any way our liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors, or for any liability which cannot be excluded or limited by law.

Our rights to cancel
8.1 We will not be liable or responsible for any failure to perform, or delay in performance of any of our obligations under these terms that is caused by an Event outside Our Control.
8.2 An Event outside Our Control means any act or event beyond our reasonable control including but not limited to strikes or other industrial action, civil commotion, terrorist attack or threat of terrorist attack, epidemic, adverse weather conditions or other natural disasters.8.3 If an Event outside Our Control takes place that affects the performance of our obligations under these Terms:8.3.3 We will contact you as soon as reasonably possible to notify you; and
8.3.4 We will, where possible, provide alternative arrangements (which may include alternative dates or venues) for the course, or a place on another programme for the day.
8.3.5 You may cancel your booking if any alternative arrangements proposed by us are unsuitable for any reason, in which case we will refund all fees paid in advance for the Course.8.4 We reserve the right to refuse your attendance on the course if you are suffering from any illness, medical condition or mental or physical disability which was not disclosed at the time of booking.

Conduct:
9.1 We expect students to behave reasonably at all times towards other students, school staff and accommodation providers and to respect cultural, racial and religious differences. If we have to ask your child to leave the school because your child’s behaviour is unacceptable, you will not be entitled to any refund of fees. Unacceptable behaviour includes unsatisfactory attendance, aggressive physical or verbal behaviour towards other students or members of staff, drug abuse, dishonesty, criminal behaviour or deliberately causing damage to the school premises or accommodation. We expect all students to adhere to the standards and rules we set. If we deem your child’s behaviour unacceptable or have asked your child to leave the school your child will not be allowed to remain in accommodation we have arranged.
9.2 For your own benefit and the benefit of your fellow students, you are expected to speak English at all times and behave respectfully to other students, staff and accommodation providers. In a multi-national environment it is vital to respect cultural, racial and religious differences.9.3 We reserve the right to terminate without notice the course of any student who persistently misconducts themselves in their classes or accommodation. There is no refund of fees to students whose courses are terminated like this. Additional travel costs must be paid at your expense.9.4 We reserve the right to issue disruptive students with a verbal warning and, if there is no improvement in behaviour, to send them home at their parents’ or guardians’ expense.
9.5 We further reserve the right to send home without a warning letter any student committing a serious offence, especially offences involving the police, including theft, smoking in any school building and the possession, purchase or consumption of alcohol or illegal drugs.

Medical and Heath
9.1 In case of medical emergency where the student become incapacitated, I understand that a reasonable effort will be made to contact their emergency contacts.
9.2 In the event that they cannot be reached, I hereby give permission to the physician selected by assigned guardian, group leader, personnel to hospitalize, secure proper treatment for, and to order injection, anaesthesia or surgery for my student.

Force Majeure:
Sharing One Language is not liable for loss of tuition or other services due to factors outside our control. Refunds will not be made under these circumstances.

Under 18s:
Sharing One Language courses are aimed at students and teachers with a wide age range and  those participating are expected to study seriously and behave in an adult way. Parents or guardians of under 18s must send us a completed “parental consent form” before the student arrives in the school and must abide by the curfew set by the school and host family. Please note that 16/17 year old students are not supervised except in lessons and on class excursions.

If you have a problem whilst you are in the school, let us know immediately so we can help you. Complaints can only be accepted during the time you are attending the school and not after you have completed your course.

13.1 We will use your personal information as outlined in our Privacy Policy
13.2 We may take photographs and videos of classes or other school activities during the student’s time with us, which may be used for promotional purposes. If the student does not wish to appear in any promotional materials please advise us at the time of booking. Quotes from feedback will similarly be used in promotional material, these will be published anonymously unless we are contacted and requested not to do so.
Photography: Photographs or videos which are taken while you are here may be used for promotional reasons. If you do not wish us to use these images please inform us in writing on or before your arrival at the school.

General
The original text of the Terms and Conditions is in English and any interpretation of them will be based on the original English text. If the Terms of Use or any documents or notices related to them are translated into any other language, the original English version will prevail.
By signing our information application form, the parent or guardian:
14.1 Grants the student permission to participate in the full programme of calls and leisure activities.
14.2 Authorises Sharing One Language/teacher/host family to act in loco parentis for the duration of the child’s stay, and to take appropriate action in the case of any medical or other emergency, and accepts responsibility for any resultant cost.
14.3 Accepts responsibility for any wilful damage caused by the student and any resultant cost for repair or replacement.
